Cancellation Policy
Effective from February 1, 2026
1. Cancellation by User
The User may cancel their subscription at any time through the following methods, in accordance with Section 1829 et seq. of the Civil Code:
- Through the Service: Navigate to Settings > Subscription and click "Cancel subscription". The cancellation is effective immediately upon confirmation
- By email: Send a cancellation request to info@kansei.works from the email address associated with the User Account. The cancellation will be processed within 2 business days
- By written notice: Send a cancellation letter to the Provider's registered office address. The cancellation takes effect upon receipt by the Provider
2. Effect of Cancellation
Upon cancellation, the User's paid subscription will remain active until the end of the current billing period (monthly or annual). After the billing period expires, the account will be automatically downgraded to the free tier. The User will not be charged for subsequent billing periods. All features included in the paid plan will remain available until the end of the paid period. The User retains access to their data in accordance with the free tier limits after downgrade.
3. Data Export and Retention After Cancellation
The User has the following rights regarding their data upon cancellation:
- Data export: The User may export all their data (invoices, clients, expenses, projects) in structured formats (JSON, CSV, PDF) at any time before and up to 30 days after account downgrade or deletion
- Data retention: After cancellation, data is retained according to legal requirements. Financial documents are retained for 10 years per Czech accounting law (Act No. 563/1991 Sb.). Other data is retained for 30 days after account deletion to allow for recovery
- Data deletion: After the retention period, all personal data is permanently deleted from our systems, including backups (within 90 days of the backup rotation schedule), in accordance with our Data Processing Agreement and GDPR obligations
4. Termination by Provider
The Provider may terminate the User's account under the following circumstances, in compliance with the Civil Code:
- Material breach of the Terms of Service that remains uncured 14 days after written notice to the User
- Use of the Service for illegal purposes, including storing or transmitting content that violates Czech or EU law
- Non-payment of subscription fees for more than 30 days after the due date, following at least 3 payment reminders
- Repeated or systematic abuse of the Service that adversely affects other users or the Service infrastructure
5. Immediate Termination
The Provider reserves the right to terminate or suspend the User's account immediately and without prior notice in cases of: serious security breaches (unauthorized access attempts, distribution of malware), activity constituting a criminal offense under Czech law, or imminent risk of significant harm to other users or the Service. In such cases, the Provider will notify the User of the termination and the reasons as soon as practicable, and the User retains the right to export their data for 30 days.
6. Refunds Upon Cancellation
For monthly subscriptions, no refund is provided for the remaining days of the current billing period after cancellation. For annual subscriptions cancelled before the end of the annual billing period, the User may request a prorated refund for the unused complete months remaining, subject to a reasonable administrative fee. Refund requests should be directed to info@kansei.works within 14 days of cancellation. The Consumer's statutory right of withdrawal under Section 1829 of the Civil Code (14-day withdrawal period for distance contracts) remains unaffected.
7. Consumer Right of Withdrawal (14 Days)
In accordance with Section 1829 of Act No. 89/2012 Sb. (Civil Code) and Directive 2011/83/EU on consumer rights, consumers who subscribe to the Service at a distance (online) have the right to withdraw from the contract within 14 days of its conclusion without providing any reason. To exercise this right, notify us at info@kansei.works with a clear statement of your decision to withdraw. If you requested the Service to begin during the withdrawal period, you shall pay an amount proportional to the services provided up to the time of withdrawal. The refund will be processed within 14 days of receiving the withdrawal notification, using the same payment method as the original transaction.
8. Account Deletion
The User may request complete deletion of their account and all associated data by contacting info@kansei.works or through Settings > Account > Delete Account. Account deletion is irreversible. Upon receiving a deletion request, the Provider will: (1) confirm the request via email, (2) allow a 7-day grace period during which the deletion can be cancelled, (3) permanently delete the account and all User data, subject to legal retention requirements for financial records. The right to account deletion is also guaranteed under Article 17 GDPR (right to erasure).
9. Surviving Provisions
The following provisions survive the termination or expiration of the subscription and remain in full force: intellectual property rights, limitation of liability, warranty disclaimers, data retention obligations under Czech law, confidentiality obligations, and any provision that by its nature is intended to survive termination. The Provider's obligations under the Data Processing Agreement regarding data return and deletion also survive termination as specified therein.
